Secretary - General Manager

Responsibilities:
Undertake administrative support activities within the GM/Manager's office, and Division/ Department such as communicating by phone, facsimile and email; handling document (filling, typing, recording and sorting letters, memos, reports, copying and/or binding documents), preparing presentations, and operate office equipments (such as video conference, teleconference, projector, scanner, photocopy machine, facsimile, printer, etc).
Monitor and order office supplies/equipment which supports the GM/Manager's office operation.
Coordinate housekeeping activities in the GM/Manager's office for safety health and comfort reasons.
Organise the GM/Manager's daily schedule based on priorities to remind the GM/Manager of appointments, arrange appointments with Divisional or Department staff and/or guests (internal or external) to meet the GM/Manager and receive them, coordinate leave of GM/Manager and advise the GM/Manager to minimise their absence at the same time either due to leave or business trips.
Coordinate, organise, and monitor activities for formal events such as meetings (preparing the venue, supporting equipment, distributing invitations, etc) and/or informal events such as function (preparing invitations, programs, organizing food and beverages, arranging transportation, acting as Master of Ceremony/MC, etc).
Organise all GM/Manager's needs for external duties (out of town/overseas) such as appointments with person(s) to meet, travel arrangements, accommodation, meeting materials, reminders and itineraries.
Arrange and/or coordinate with Guest Relations Section all requirements concerned with KPC's guests such as travel service, accommodation, entertainment and safety equipment.
Deal with routine correspondence as delegated by superior.
Submit and compile regular reports from contributors.
Monitor and review validity of documents/work permits for contract extension or renewal purposes.
Translate simple documents or letters from Indonesian to English or vice versa.
Prepare and input annual budget on behalf of Division/Department ,regularly administer and track the Division/Department's budget to monitor costs and verify payments
Requirements:
Possess minimum Secretary Academy (D3) graduate (or equivalent).
At least 5 years of experience in secretarial work.
Possess competency in spoken and written English.
Possess Business writing skills and Public Relations knowledge.
Able to operate computer with Office software/programs.
Ability to keep confidentiality of sensitive information.
Responsiveness, ability to perceive situation, selectivity in receiving guests, flexibility, and sense of humor.
Problem solving skills and ability to determine priorities.
Alertness, initiative, creativity, determination, patience, works in accuracy as well as keeps pace with the progress of the GM/ Manager's work.
Ability to perceive problems and delegate the solution to the competent parties.
Initiative to look for alternatives concerned with GM/Managers work and to take responsibility for writing letters and making some decisions on behalf of them as directed.
